Written by Enja Matthee

TL;DR: By adding your fields, machinery, causes, treatments/products, and team members, you’re ready to delegate jobs, record notes, and manage harvests in no time.

Who is this for?

New Farmable admins or managers who are setting up a farm for the first time.

When setting up your Farmable Account, have basic farm details handy (field names/boundaries, machine names, products used, team emails).

To optimize farm operations, we suggest setting up your farm’s core components first. This foundational setup enables streamlined job delegation and efficient management.

Quick Start Guide: the 5 core steps

Add each field with its name, size, and location. This ensures jobs, notes, and harvest logs are tied to the right place.

2. Add your machinery and equipment
Create entries for tractors, sprayers, harvesters, tools, etc. This enables accurate job assignment, usage tracking, and records.

Define the “why” behind work (custom categories you use to tag jobs and notes). Clear causes make reports searchable and consistent.

4. Select and add your treatments and products
Add the crop protection, nutrients, and other products you actually use so jobs can be created with the right rates and records.

5. Add other members to your farm
Add other members so you can assign work, track completion, and collaborate in real time.

With these preparations in place, you’ll be able to delegate tasks, manage harvests, and record notes with ease.

What you can do once setup is complete

  • Delegate tasks to people and machines with due dates.

  • Record notes (text, photos, voice) right on field pages.

  • Manage harvests with totals and traceable records.

FAQs

How long does the initial setup take?

Most farms finish the basics in 10–30 minutes, depending on the number of fields you need to draw and product setup (Access to Government List)

Do I need to set up everything at once?

No. Start with fields and add the rest as you go.

Can I import fields or products?

Fields can be imported via the Web Portal if they are available (See: Import fields on Web Portal). Use the converter if needed. Products need to be manually uploaded via the app unless you have access to your government-approved list.

Who should I invite first?

Invite anyone who creates or completes jobs (e.g., operators, scouts) and at least one backup admin.

What are “causes”?

They’re your custom labels for the reason behind work (the “why”), used to keep jobs and reports consistent.
